SITE ASSESSMENT

Conduct a property walk-through and interview staff and principals to learn about service preferences and challenges related to property maintenance, teamwork, communication, training, policies, and procedures.

HOUSEHOLD CONTENT INVENTORY (Based on a 2,000-item inventory)

Each item (except where noted) will have an image and be included in an Excel spreadsheet database uploaded to Trello to include location, description, quantity, color, brand, and general condition.

Individual Images and Descriptions

  • Furniture, accessories, musical instruments, artwork, and antiques

  • Jewelry and watches

  • Dishware, glassware, silverware, and serving pieces

  • Housekeeping and personal preferred products

  • Regularly stocked food and beverages (excludes quantities of consumable products)

  • Mechanical equipment and appliances (Make, model, year, serial number)

  • Vehicles (Year, make, model, VIN, tag number, registration, and insurance card)

Group Images and Descriptions (will read: “Miscellaneous shirts, pants, shoes, etc.” instead of naming individual items)

  • Clothing, shoes, and personal items

  • Emergency preparedness supplies

  • Bed and table linens

  • Books, magazines, periodicals, and small tools

  • Kitchen items and small appliances

NOTE: The client will provide and input information relating to costs and sources.

The client will provide, and EMS will input:

  • Up to two-year maintenance history

  • Warranty information with expiration dates

  • Maintenance recommendations and frequency, special-order parts, and supplies

  • Preferred service provider, contact information, insurance certificates, licenses

MEMORANDUMS OF UNDERSTANDING

Based on conversations and recommendations, EMS will create (1) draft document each for personnel and contractors with pertinent information relating to their work hours, property protection, communication, accidents, phone usage, dress code, site photography, inappropriate actions, invoice submissions, parking, and anything else that they need to know to be successful working on your property. The client will provide final edits.

12-MONTH MAINTENANCE CALENDAR

A maintenance database will be created from the household inventories for client approval. The database will include the item, maintenance task, frequency, and service provider (staff or sub-contractor). Once the client approves this document, EMS will create a 12-month maintenance calendar on Trello with daily, weekly, monthly, seasonal, and annual tasks.

EMERGENCY PREPAREDNESS PLAN

In addition to medical and natural disaster emergency procedures and supply lists, we’ll develop the following resources:

  • Fire extinguisher location map

  • Utility shut-off instructions

  • Evacuation map including local gas stations, ATMs, shelters, and emergency facilities

NOTE: The client will provide:

  • Floor and site plans

  • Emergency contact information, grab-and-go evacuation list, and family plan

TRELLO WORKSPACE

  • One workspace, (30) EMS templated boards, and (100+) Word and Excel templates explicitly designed for household and project management

  • Links to (10+) introductory Trello training videos

  • (1) Property Board customized with the information outlined above

NOTE: The client will purchase Trello’s Premium Subscription ($120/year/user)
